To prevent claim rejections and financial clawbacks, documentation must move beyond a simple record of work performed. It must become a "Diagnostic Storytelling" vehicle that proves the necessity of the repair through empirical data and technical precision.

Effective warranty management requires a shift from reporting what was done to proving why it was necessary. For high-cost components, OEM auditors demand a data-driven narrative. The following standards must be applied to every repair order to ensure the claim is audit-proof.

1. The "Three C’s" Framework

Every warranty claim must clearly delineate the following three components to be considered "audit-proof."

I. Concern (The Complaint)

The concern must reflect the specific symptoms reported by the customer or the technician's initial observation. Use objective descriptors of the vehicle's behavior.

Adherence to these technical writing standards ensures that the narrative stands as a complete and unassailable record of the repair, eliminating the need for additional information requests and protecting the dealership from financial clawbacks.
